Implementation Team Update

On May 15, 2015, Intota v.1 (Summon, Intota Assessment, and Intota ERM) officially moved from implementation status to support. These three phases are now in production for CLIC libraries.

Later this year, the Implementation Team will begin a new implementation process for Intota v.2.

Implementation Team Update - ERM Training



Last week, the Implementation Team met with ProQuest trainers Scott Shull and Donna Boecker to learn about Intota ERM. 



During the two-day training sessions, staff from CLIC libraries also had a chance to share enhancement requests and other concerns with the trainers. Later this week, the Implementation Team and CLIC Board will meet with ProQuest management for updates on Intota product development and enhancements.

Implementation Team Groundhog Day Update

ProQuest conducted two Intota Assessment training webinars in January. To view recordings of the training sessions, please contact your Implementation Team representative for the URLs and passwords.
Subject to review and approval of the ASAs, the Implementation Team set the quarterly schedule for complete loads as follows:
Summon: February, May, August, November
Intota Assessment: January, April, July, October

Implementation Team Update, Jan. 20, 2015

Intota Assessment (IA) Training. ProQuest is conducting two IA webinars for CLIC this week on January 22 and 23. Contact your I-Team representative for log-in information. Both webinars will also be recorded to view later.

Summon indexing. The re-indexing is in place with improved search results in Summon.

Happy New Year!

It's a new year, and the Implementation Team is back at work again after a well-deserved break. 

Highlights from today's meeting:

Summon. The re-indexing in complete, and Team reps will review their production databases this week.

Intota Assessment Training. ProQuest will provide Intota Assessment webinar training in January.  The webinars will also be recorded for later viewing by CLIC library staff. 


Intota Training. We are in the process of scheduling on-site "train-the-trainer" ERM workshops in early February for the Implementation Team and select staff. Please see your Implementation Team representative if you have questions about training.

Implementation Team Celebrates One-Year Milestone

In December 2013, the newly-appointed Implementation Team assembled to work on their first project: the deliverables section of the license. Today, the Team celebrated their one-year anniversary.

The Team has accomplished a great deal in the past year:
~Completed license agreement with ProQuest.
~Hosted kick-off event to introduce library staff to Summon and Intota.
~Worked with catalogers to map CLICnet database to Summon.
~Transitioned member libraries to Summon 2.0.
~Hosted ProQuest training sessions (live and online).
~Set up the ERM component of Intota.
~Loaded member library data into Intota Assessment.

In the coming year, the Implementation Team looks forward to hosting more training and to beginning work on our migration to the remaining Intota components.

Summon 2.0
Testing of the fix to the duplicate records issue is now complete, and ProQuest will begin loading our revised data into Summon this week.  Users should see improvements in Summon searches by the end of next week.

Intota Assessment (IA)
ProQuest has completed loading data for Augsburg, Bethel, and Concordia into IA. Over the next few weeks, data for the remaining libraries will be loaded and tested. We expect to schedule IA training in early 2015 after all data is loaded successfully.

Implementation Team Update, Nov. 17

Intota ERM Training. ProQuest would like to schedule ERM training for CLIC member library staffs soon. This training will be done via webinar. Your Implementation Team representative will advise you when the training is scheduled.

Summon 2.0.  ProQuest and the Implementation Team are completing testing of the data fixes this week and next week. You should see improvements in the Summon search results in early December.

Summon. A duplicates fix will be implemented next week to improve the display of results in Summon. 
Intota Client Center. ProQuest is installing an SQL upgrade at the end of November which will reduce the slowness problem in the client center. 
CONTENTdm Collections in Summon. The Implementation Team has begun discussions with ProQuest regarding the addition of CLIC’s CONTENTdm collections to Summon.

Implementation Team Update, Oct. 20

The CLIC Implementation Team met today and reviewed the results of testing Intota Assessment and Summon data loads.
Intota Assessment. We expect data from all CLIC libraries to be loaded by end of November. After data is loaded successfully, we will schedule Assessment training (most likely in January).
Summon. The Implementation Team is working with ProQuest to finalize a solution to the duplicates issue which involves some changes to the Locations filter.

Implementation Team Update, October 6

On September 25, the Implementation Team and the CLIC Board met with Jane Burke and Jed Gilmore of ProQuest to discuss CLIC's implementation timeline. We are pleased that ProQuest is making it easier for the Implementation Team to provide and receive feedback on Intota components.
On October 1, Dani Roach and Kari Petryszyn of St. Thomas conducted a training session on the Intota ERM for CLIC member library staff.  Thank you to Dani and Kari for an excellent session!
The Implementation Team and ProQuest are reloading data for Intota Assessment this week.  When testing is completed, we will schedule Intota Assessment training later this fall.

Highlights from today's Implementation Team meeting:

SUMMON 2.0 IMPLEMENTATION
The Implementation Team is making headway on the duplicates issue and is testing a possible solution in UST's sandbox this month. 

FILMS ON DEMAND RECORDS IN SUMMON
The Implementation Team is working with ProQuest to encourage Films On Demand and other vendors to allow inclusion of their records in the KnowledgeBase.

INTOTA ASSESSMENT
ProQuest is currently testing Augsburg's and Bethel's Millennium data in Intota Assessment.

Intota Demo Scheduled for July 23

Intota Demo July 23
Jane Burke from ProQuest will be in St. Paul this week to meet with the CLIC Board and Implementation Team to discuss our migration to Intota. On Wednesday, July 23, at 2:00-4:00 p.m., Jane will conduct a general demonstration and discussion of Intota Assessment, e-resources, 360 LInk changes, and other Intota development information.  CLIC library staff interested in these Intota services are welcome to attend the 2pm demo at Hamline University, Anderson Center, Room 305. Check with your library's Implementation Team representative if you have questions about attending the demo.

Intota Assessment
ProQuest is currently processing our libraries' data for Intota Assessment.  Training on Intota Assessment will be scheduled later this summer.

Summon 2.0
CLIC libraries went live on Summon 2.0 at the end of May.  The Implementation Team is continuing to work with ProQuest to improve our Summon search results.

Implementation Team Update June 30, 2014

Bethel University Library's celebration to launch Summon.

SUMMON MARKETING AND TRAINING. The Implementation Team is collecting CLIC library photos and publicity materials promoting Summon. See above for photos from Bethel’s creative campaign, Accio Resources. The CLIC Board has asked the Implementation Team to assemble a task force to develop a Summon best practices guide that explains what Summon is and that provides basic information for frontline staff and trainers.

INTOTA ASSESSMENT (IA). The Implementation Team is working on completion of DRS forms for e-resources data for IA. Steve Waage has enlisted the assistance of the Mapping Task Force to review a set of fields for Millennium records for IA. Our Team goal is to have IA in place by the end of the summer, with training for CLIC library staff later in August.


INTOTA-E. CLIC is hosting a demonstration of Intota-E on July 23. Further details to follow. Check with your Implementation Team representative if you are interested in attending.

Celebrate a Milestone! Implementation Team Update June 2, 2014

PHASE 1 IS COMPLETE! The Implementation Team is pleased to announce the launch of our new discovery service. In Phase 1 of the implementation of CLIC’s shared Intota Management System, seven libraries successfully transitioned to Summon 2.0.  Six libraries made the transition from WorldCat Local and one library upgraded from Summon 1.0. Kudos to our implementation manager Ashley DeHaye and others at ProQuest for going above and beyond to meet our launch deadline!
SUMMON 2.0 ENHANCEMENTS. ProQuest is releasing Summon 2.0 enhancements on June 3, 2014, which will appear in the CLIC Summon sites at the end of the week. Stay tuned for further information after the enhancements are live.
SUMMON 2.0 INFORMATION SHEET FOR LIBRARY STAFF. The Implementation Team has drafted an information sheet on Summon 2.0 for CLIC library staff. Please see your Implementation Team representative for a version of the information sheet tailored to your library.

PHASE 2 - INTOTA ASSESSMENT. The Implementation Team has begun the process of setting up Intota Assessment for the CLIC libraries. During June and July, the Team will complete COUNTER DRS forms for each library and will load and test catalog data from Millennium. Training for CLIC library staff on Intota Assessment will be offered in August.

Implementation Team Update, May 19, 2014

CLIC’S SUMMON MAPPING AND UPDATES: Mapping is now in place, and the data has been sent in for our second ingestion.  CLIC has begun sending weekly updates and deletions to ProQuest. 

SUMMON 2.0 ENHANCEMENTS: ProQuest is releasing Summon 2.0 enhancements on June 3, 2014, which should show up in the CLIC Summon sites at the end of the week.  [UPDATED 5/29/14 to change release date to June 3.]

SUMMON 2.0 GO LIVE DATE FOR CLIC LIBRARIES: We are on track to go live on Summon 2.0 on June 1, 2014.  The Implementation Team will meet on Monday, June 2, to celebrate and to review any needed adjustments.

SUMMON 2.0 INFORMATION SHEET FOR LIBRARY STAFF: The Implementation Team is drafting an information sheet on Summon 2.0 for CLIC library staff.  If there are particular topics you would like us to address on the information sheet, please tell your Implementation Team representative.

Implementation Team Update, May 5, 2014

CLIC's Implementation Team is hard at work getting our Summon test sites ready for prime time.  Here are some highlights from today's meeting:

FINAL DATA INGESTION AND GO LIVE DATE
ProQuest has received CLIC's mapping and will complete the indexing this Friday. The new indexing will include revised location codes. The Team is happy to report that CLIC is now "on the cusp" of our final data ingestion prior to going live on June 1.  

SUMMON ENHANCEMENTS
The next round of Summon enhancements is scheduled for May 21. 

ASSESSMENT
Later this summer, the Implementation Team will begin work on our transition to Assessment. Stay tuned!

Implementation Team Update, April 21, 2014

The Implementation Team has been meeting twice a month with Ashley DeHaye, CLIC’s  ProQuest Implementation Manager. Starting with today’s meeting, we will post progress reports from our meetings on clic-announce and on the CLIC Blog, with a link from CLIC’s Facebook page.

MAPPING AND TESTING SUMMON: CLIC’s Implementation Team has been hard at work for the past three months setting up our Summon 2.0 instances and working with the Mapping Task Force to customize our mapping to meet CLIC library needs.  We are in the process of testing the latest ingestion, and we expect at least one more ingestion before going live with Summon 2.0 on June 1, 2014. [Note: UST’s date may vary.]

OPTIMIZING SUMMON: The Implementation Team is working with ProQuest trainers to learn more about optimizing Summon for our libraries’ needs. Some of the areas under investigation are LibGuides, Recommended Databases, and the WorldCat API.

TRAINING: The Implementation Team also coordinated Summon training in February, March, and April.  If you missed any of the sessions, the training webinars were recorded and will be available for three months. Please check with the CLIC Office or with your Implementation Team representative for log-in information to view archived events.

Summon Onsite Training

Kevin Lane-Cummings of ProQuest presented four onsite training sessions at CLIC libraries this week. Kevin's presentations focused on Summon Web-Scale Discovery. CLIC library staff unable to attend any of the onsite sessions will have the opportunity to login to Kevin's webinar on April 17.
